Emandal ArtStays Guidelines for Workshop Instructors

General Guidelines

    1. A complete Potential Instructor Proposal Form for each workshop must be submitted to Emandal by February 1, 2019. Include images or background material of the work being presented with the form.
    2. At the time of approval/selection, all publicity information must be provided. Publicity Requirements are shown below under “Workshop Publicity”.
    3. Upon workshop approval the Instructor will be sent a contract for signature. Once the contract is fully executed, the workshop will be added to the Emandal Website.
    4. The workshop fee is $140 per participant which will be included in the payment collected by Emandal upon registration of participant. Material fees will be paid directly by the student to the instructor.
    5. The minimum number of participants for each workshop is 5, and the maximum is 10. The maximum number may be increased if the overall number of ArtStay registrants allows and with Emandal’s approval. The cut-off date for registration is determined by Emandal, and is typically a minimum of 60 days prior to the start of the workshop.
    6. Emandal ArtStays will take the student’s name, mailing address, phone and e-mail. All payments for workshops whether taken by check, cash or credit cards are taken at the time of registration. In the event of a cancellation, Emandal will notify registered students and return payments by check. Workshop tuitions are refundable (less a $100 non-refundable fee) until the “register by” date. After that date, no refunds are available.
    7. Instructors will receive their compensation at the end of the scheduled workshop. During the execution of the contract, Instructors will be provided an IRS W-9 (Request for Taxpayer Identification Number and Certification).  Submission of this completed form is required in order to receive payment.
    8. All Instructors are responsible for leaving their workshop areas clean, as well as complying with all of Emandal’s Safety Policies and Terms and Conditions for Enrollment.
    9. Instructors selected for this program are hired as independent contractors. As a contractor, the instructor agrees that he/she is not an employee of Emandal-A Farm on a River, nor is he/she entitled to employee benefits such as sick leave and vacation. It is understood that contractual Instructors are not covered by Workers Compensation Insurance. No deductions, withholding for any taxes, FICA contributions, unemployment, Social Security or any other employee benefits or burdens will be made by Emandal on behalf of the contractor.
    10. Emandal shall be held harmless for any injury, loss, damages, or expense of any nature sustained by the contractor in the conduct of any class, workshop or performances, or in the execution of any duties or obligations pertaining to this agreement.
    11. Emandal will notify students and instructor in case of a class change or cancellation at the earliest possible date.
    12. All meals and lodging for Instructors will be provided by Emandal during the workshop weekend, per the workshop schedule. Any dietary restrictions or allergies must be communicated to Emandal at least 7 days prior to the start of the workshop weekend.

Workshop Schedule Framework

    1. Length of Workshop: Each Emandal ArtStay workshop takes place over 3.5 days / 4 nights.
    2. Instructor Arrival: As ArtStays begin at 3pm on the first day, Instructors must check-in at Emandal no later than 1pm that day for instructor orientation and set-up.
    3. Class Schedule: Below is the standard class schedule for Emandal ArtStays.  Instructors wishing a revised schedule for their workshops must submit it to Emandal for review and approval at the time of selection so that it may be included in the marketing information for the instructor’s workshop.
      1. Arrival Day –  Noon
      2. Middle three days– 9:30am – 12:30pm and 4:30pm – 5:30pm
      3. Sunday – Instructor’s choice whether or not to offer a morning session
    4. All Participant Events:
      1. Arrival Day:  3pm Welcome Orientation; 5:30pm Social Hour
      2. Middle three days– 5:30pm Social Hour; 7:15pm (or immediately following dinner) Demos/small projects.
    5. Meal Schedule: 8:30am breakfast; 1pm lunch; 6:30pm dinner
    6. Instructor Departure: All Instructors (and participants) are asked to vacate their cabins/rooms by 11am, and the premises by 3pm on the final day of the workshop.

Workshop Publicity

    1. All Publicity Information should be provided to the workshop coordinator, Tamara Adams (info@emandal.com), or Emandal ArtStay’s Dropbox within 7 days of receiving notification of workshop approval. As your Instructor payments are directly tied to the number of students participating, it is to your benefit to actively participate in the creation of the publicity for your workshop.
    2. Images should be 1500 x 2100 pixels (5×7 300 dpi) and can be uploaded to Emandal ArtStay’s Dropbox or sent through email.
    3. Publicity Information should include:
      1. a description of the workshop,
      2. any instructor statements,
      3. images of your work, yourself as an artist, and any other images relevant to the workshop. Each image should be provided in electronic format (see below) with a minimum of 2 images, but preferably 5,
      4. a brief biography,
      5. prior student testimonials (up to 3), and
      6. a materials list if needed.
    4. Emandal ArtStays advertises workshops on its website (com), its FaceBook page and via postcards. Outreach includes Visit Mendocino, Mendocino Arts Council Website, and various Emandal programs.  To that end, at the time of approval/selection, you will be required to submit your publicity information.
    5. Workshop Cancellation: Both Emandal and Instructors will work to promote and fill classes. In spite of everyone’s best efforts, a class may not meet the minimum requirement of participants. Emandal reserves the right to cancel a class before it begins without obligation to pay the instructor.  Workshop cancellations are generally determined if the class minimums are not met by the established cut-off date.  Instructors and participants will be notified at the earliest possible date, but at least 30 days prior to the start of the workshop if cancellation is due to below minimum registration requirements.
    6. Additional Publicity Posters or Flyers: If Instructors desire additional posters or flyers beyond those provided by Emandal, Instructors are responsible for creating and distributing them as well as any associated costs.  All additional publicity poster or flyers must be approved by Emandal.
